Contract Vendors: Updating Your Information on Mohave’s Website

by Contracts Team

Mohave creates a landing page on the Mohave website for your firm’s contract (or contracts). The information displayed is specific to the products and services that your firm provides under your awarded contract, as well as your company’s logo. We will also add relative pictures that display the products and/or services your firm provides under your awarded contract.

Mohave hopes that you take the time to regularly view your firm’s contract information on our website. When you do, make sure we have your company’s current logo displayed. Read through the information we provide on the “Overview” section to make sure it is still current. We include pictures as a visual in this section. If you have pictures specific to your firm (service vehicles with your logo’s, team members wearing logoed attire, views of your firm’s building, and so on) we would love to look at them for consideration to include them on your landing page. Click on the “Visit Website” link to make sure it goes to the right webpage for your firm. By ensuring that the Mohave website accurately reflects your company’s latest information, we empower our members with the information they need, enhancing their experience and engagement.

Should you see anything on your Mohave landing page, or in the other pages for your Mohave contract that you would like to update, please call us at 928-753-6945, email us at contracts@mesc.org, or email your assigned Contract Specialist directly. We will contact you if we have questions and advise you when the updates are made.s

Understanding Due Diligence

by Procurement and Compliance Team

What exactly is due diligence?

According to Merriam-Webster, it encompasses two key aspects:

  1. In a legal context, it refers to the care a reasonable individual exercises to prevent harm to others or their property.
  2. In the realm of business, research and analysis of a company or organization done in preparation for a business transaction (such as a corporate merger or purchase of securities).

But how does this concept apply to cooperative contracts?

In the context of cooperative procurement contracts, due diligence involves verifying whether the contract aligns with the rules, regulations, and statutes governing your agency’s procurement obligations.

So, how should you go about conducting due diligence for your agency?

The Office of the Auditor General has established guidelines for performing due diligence reviews under the Uniform System of Financial Records (USFR) Compliance Questionnaire. These USFR Guidelines serve as a framework for assessing compliance.

It’s important to note that while these guidelines offer direction, your agency must exercise its own discretion in determining the level of complexity required for due diligence.

To assist you further, Mohave offers a completed version of the USFR Compliance Questionnaire on our website for each of our contracts. This information is password protected and accessible on the vendor’s pricing page. Select Contract Documentation > Individual Documents > Solicitation Documents.pdf.

*Passwords are provided to Mohave Cooperative members. If you don’t know your password, please contact Mohave via email at signup@mesc.org.

For more comprehensive information on due diligence for Mohave contracts, see Mohave’s Due Diligence PDF.

Remember, while the USFR Compliance Questionnaire is available for your convenience, your agency reserves the right to utilize a more stringent or lenient form as deemed appropriate.
