Are You Ready for July 1 License Renewals? Now Is the Time for Districts to Review Student Counts and Software Needs

As July 1 approaches, K–12 districts are encouraged to review their current student counts and software usage to ensure they’re paying the correct amount for annual licenses. A quick midyear check can prevent overpayments, avoid unexpected costs, and help districts stay aligned with their actual needs.

Why Student Count Matters

Many software licenses are based on total enrollment. If your student count has decreased, you may be eligible for lower total costs at renewal. Conversely, if enrollment has grown, now is the time to make sure you have adequate coverage before the renewal deadline.

Other Key Items to Review Before Renewal

  • Program or module changes:  If your district has added or discontinued academic programs or software modules, your license type may need adjustment to reflect these shifts.
  • Usage trends:  Software that is no longer heavily used—or no longer used at all—may qualify for a reduction in seats or a lower-tier plan.
  • Contract term dates:  Verify your renewal dates to prevent contract lapses or unintended auto-renewals at updated, and sometimes higher pricing.
  • New funding opportunities:  Some licenses may qualify for special pricing if supported by grants or new funding streams. It’s worth checking to see whether updated funding could reduce costs.
  • Vendor updates:  Vendors commonly update pricing models, add new features, or retire older products. Confirm you are still on the most cost-effective and appropriate plan for your district’s needs.
  • Agreement Cancellations:  Be sure to review the agreement for any cancellation terms requiring notification timelines to avoid paying for an additional year.

What’s New Right Now

We’ve made an initial enhancement to the Product/Vendor Finder page. This update includes cleaner layout cards and improved organization to help you quickly locate vendors, product categories, and contract information.

The new design is optimized to work across both mobile and desktop platforms. Information on mobile platforms is now organized into clearly labeled sections with quick links, collapsible content, and an easy-to-use tabbed layout, so you can quickly access pricing, documents, contract details, and vendor contacts on-the-go. These updates are designed to save you time, improve readability, and create a more intuitive experience wherever you’re browsing.

Arizona Furnishings and Clair Global Integration Site Visits

Our team recently visited Arizona Furnishings and Clair Global Integration for onsite visits focused on learning, collaboration, and strengthening partnerships. During these visits, we delivered a Mohave 101 presentation and toured vendor facilities and warehouses. This gave us valuable insight into their operations and how contract vendors support Mohave members through cooperative contracts.

The Mohave 101 presentation provided an overview of our cooperative, how members use contracts, and the role vendors play in delivering compliant and reliable service. Open discussions allowed both teams to share perspectives, ask questions, and align expectations. Facility tours provide our team with a clearer understanding of vendor workflows, inventory management, and quality control processes—insight that is difficult to gain through emails and calls.
